Transcript Requests from Students

Upon written request to the Office of the Registrar, a current or former VCOM student or graduate may request a transcript under conditions as listed below:

UNOFFICIAL TRANSCRIPTS:

Printed on white paper and stamped "Unofficial Transcript" in lieu of a signature by the Registrar.

  1. While enrolled, VCOM students will receive an unofficial transcript on a regular basis form the Office of the Registrar.
  2. Enrolled students and those who graduated in good standing may request an unofficial transcript at other intervals for their personal use. An unofficial transcript will be provided to the student in person or via mail directly by the Office of the Registrar after an appropriate written request by the student or graduate is received. Upon graduation, the first unofficial transcript requested is free, thereafter, there is a charge of $10 per unofficial transcript requested.
  3. Non-enrolled students who did not graduate must submit an appropriate written request to the Office of the Registrar. The Office of the Dean must approve the request before any transcript is issued by the Office of the Registrar. In these cases, the transcript will be notated to identify if the sequence of course has or has not been completed and the status of the student at the time of his/her departure from VCOM (withdrawn, dismissed, on leave, etc.)
OFFICIAL TRANSCRIPTS:

Printed on VCOM security paper in partial color with Registrar's signature, date, and official VCOM seal. No  official transcript will be sent directly to the student. Any official transcript request must include the name and address of the person/institution to whom the official transcript is to be sent.

  1. Upon graduation, the first official transcript requested is free, thereafter, there is a charge of $15 per official transcript requested.
  2. An enrolled or graduated student in good standing requesting an official transcript be sent to a third party must make an appropriate written request. Official transcripts sent directly to a third party as directed by the student (e.g., scholarship agency, residency program, licensure board, etc.). The Office of the Registrar reserves the right to verify the agency or address where the transcript is to be sent.
  3. Any former student who did not graduate requesting an official transcript must make an appropriate written request. In cases, the transcript will be notated to identify any incomplete sequence of courses as well as the current status of the student (withdrawn, dismissed, on leave, etc.) There is a $15 charge per transcript requested (official or unofficial).
  4. Official transcripts and the medical student performance evaluation (MSPE or Dean's letter) are permanent and may not be amended after graduation.

APPROVALS Required by the Office of the Dean:

  1. Every request for an official transcript must be approved through the Office of the Dean.
  2. Every request for an unofficial transcript for a non-enrolled student who has not graduated must be approved through the Office of the Dean.
  3. VCOM (through the Office of the Dean) reserves the right to deny the release of any transcript for reasons including but not limited to: disciplinary actions taken by VCOM, not meeting financial obligations to VCOM or its affiliates, not following the procedure set forth in the withdrawal/leave/exit process from the College, etc.
  4. The Office of the Registrar does not need approval to send a transcript on behalf of a graduate after he/she has been deemed by the Dean as a graduate in good standing (unless he/she has actions brought forth to VCOM after he/she graduates). The graduate must file an appropriate written request for a transcript.
